Suggestions for SAFE Updates and Upgrades

by KAREN SIEWERT on 08/09/11

Occasionally Intuit sends out program updates which are downloaded to your computer and you are prompted to install the update as you enter your QuickBooks program. These updates are to fix bugs and enhance the program you are currently using. Every computer user should have a backup of their database and program prior to installing any of these updates. Common Sense is not always followed as we are in a rush to get rid of the annoying prompts and are tempted to say yes to the installation of these updates. Pro-Active IT professionals in large companies only install updates when they do not impact company work flow and have backups to protect any bad installations. If you have the Automatic Update turned on, any new update will prompt you to install when entering the software. You might consider turning off the automatic update feature, but then how would you remember to check for updates? This does become an issue, but your continued workflow is important and so should the health of your business tools. Every month I suggest checking the support site to read about what any release will do for your software, similar to changing the oil in your car, you may wish to put a sticky note on your computer to check the website out to see if indeed it is time to update your software. Any and all Software updates (Including Windows and Mac) are intended to be software enhancements created by humans who may not be perfect, so some computers tolerate and benefit from them, while others can have reactions.

Here are my recommendations to Safe QuickBooks updates step by step.

1. Have the disk of the original software or copy a download of the original software to disk or USB drive. (Store in safe place, with license numbers.)

2. Always Backup your QuickBooks Data prior to installing an update, using the Backup command located in the File Menu. Have accessible, should the installation of the update go bad.

3. Create a Computer Restore Point as well. Located in your Programs menu under Accessories, System Tools, System Restore. (Windows based Computers)

3. Download the Manual Update from the QuickBooks support site.

4. Save ALL UPDATES and store it on a USB drive or on your computer so that you can recreate how your program was last updated.  My suggestion is to save the update as 2011QBR#.exe in a directory called QuickBooks Updates with the year of your QuickBooks Software Product.

5. Wait to Install the update when you are not busy or after checking the QuickBooks Support site after a reasonable amount of time to see if the release has issues. Make your own decision whether or not to install the update. Consider Checking the Intuit Community Site if you are still concerned. The community site has a section for QuickBooks Installation, Update, and Conversions and inquire there and of course Check my newsletters for any issues like this.
